Front Office

The Front Office module is up and running 24 hours a day as no night audit is required in E-HORS. It is essential for hotels to have maximum uptime as hotels never close. 24 hours availability will result in higher revenue, higher efficiency and lower human errors as no manual back up is needed. The front office system is integrated with the Accounting module. Therefore, revenue is booked upon check out without the need for auditors to key in transactions manually. Other than Accounting, the front office module is integrated with food and beverage, venue and catering, PABX and retail modules.

The main benefits of the Front Office module are:
  • All paperwork is done by E-HORS. Registration cards, deposit receipts, breakfast or package vouchers are automatically generated in E-HORS. There is no need to write these manually. As the vouchers system is uniquely numbered, the accounting system has a full audit available. Human errors and risks of fraud can be minimized tremendously.
  • E-HORS is the only solution provider that assigns room numbers at the moment of reservation. A very advanced system behind this tool takes care of the occupancy level ensuring that it remains optimized. However, room management or front office can override any decision E-HORS took.
  • All monthly reports are generated in E-HORS, reducing human errors when manually entering data into Excel spreadsheets. All reports are custom made for different users’ needs.
  • Management receives a daily email with regards to the in-house guests that have exceeded their credit limit. This lowers the risk of potential problems at the checkout and it allows the management to better control the amount payable by in-house guests.
  • A heavy workload can be taken away from, in most cases, front office as the rooming list for group reservations can be filled in by organizers/travel agents. On top of that, front office can be assured that the right people are sharing the right room with the right bed type configuration, as organizers/travel agents know their guests better.
  • Multiple guest folios per room can be added into the system. In this case, the charges made to different guests in a room can be separated, making payments easier during check out.
  • Within a multi property environment, a central reservation department is sufficient as reservations can be made in any property if authorized. Cross property reservations will increase revenues.
  • Reservations can be confirmed by e-mail. This ensures better customer service and cost minimization. A confirmation e-mail will automatically be sent to the guest once reservation is done.
